Through our offices in Edmonton, Calgary and Toronto, we collaborate and partner with institutional clients to create master planned communities incorporating smart growth principles. We actively operate in the retail, industrial, office, mixed-use and residential segments of the Real Estate Market.

About the Role

The Administrative Assistant reports to the Vice-President Multi-Family and supports a number of members of our team including the Senior Vice President and Vice President of Multi-Family, Vice President of Finance and Accounting, Vice President of Industrial, Senior Project Managers, and works closely with the development, construction and marketing team members. The primary role of the incumbent is to coordinate among various departments and disseminate information.

The incumbent must have excellent communication or organizational skills, experience working independently, have an acute attention to detail, strong computer skills and ideally an understanding of the real estate development business. This role can be fast-paced and requires effective communication and teamwork to ensure exceptional outcomes are achieved in a timely fashion.

Duties & Responsibilities

  • Document control including preparation and tracking of proposals, purchase and sale agreements, lease documents, marketing campaigns, drawings, change orders, and various contracts;
  • Compile and coordinate master plans and construction documents;
  • Obtain and circulate construction, leasing and financing status reports;
  • Project coordination, including attending marketing, leasing, financing and design meetings as needed;
  • Preparation of meeting minutes, travel bookings, expense report preparation, etc.;
  • Managing calendars including reminders for deadlines;
  • Coordination of meetings;
  • Filing and archiving of project documents (SharePoint);
  • Act as the Multi-Family Western Canada records and information management Lead by supporting the records and information management Program implementation within the business unit and promoting the records and information Policy and standards;
  • Occasional coverage for reception;
  • Tracking of timesheets;
  • Any other duties as deemed necessary to advance the objectives of ONE.

Performance Expectations

  • All project documents including submittals, requests for information, site instructions, correspondence, minutes, etc. are complete, accurate and controlled;
  • All submittals are processed in a timely manner;
  • Task work by project manager is minimized;
  • Communications are effective such that all stakeholders are informed and up-to­ date.

Education & Experience

  • Minimum of five (5) years in a comparable position would be an asset
  • Post-secondary education, degree or diploma
  • Excellent computer skills with the desire to learn more in addition to above average Word, Excel, PowerPoint other Microsoft skills including use of SharePoint to create, file, and update all types of documents
  • Demonstrate professionalism, interpersonal skills and attention to detail
  • Excellent organizational and time-management skills with the ability to multi-task
  • Excellent verbal and written communication skills
