Leasing Administrator

Established in 1987, ONE Properties (ONE) began as a real estate developer and has built an asset and property management business by leveraging its unique skills in the development business. ONE is seeking an Leasing Administrator to join our vibrant, fast-paced team in Edmonton, Alberta.

ONE specializes in the development, asset management and property management of commercial and multi-family real estate assets.

ONE offers expertise in land planning, asset acquisition, development, project finance, construction, project analysis and marketing. Through our offices in Edmonton, Calgary and Toronto, we collaborate and partner with institutional clients to create master planned developments incorporating smart growth principles. We actively operate in the retail, industrial, office, mixed-use and residential segments of the real estate market.

The Opportunity

Join the ONE team and assume responsibility for an exciting Leasing Administrator role to support a portfolio of industrial and retail properties.  This position requires the ability to prioritize multiple deadlines and exert strong communication skills.

The Leasing Administrator reports to the Manager, Contract Administration and provides administrative support to our retail and industrial teams on a large portfolio of retail, mixed-use, and industrial properties located in Alberta and Ontario.

Position Responsibilities

  • Working closely with the Manager, Contract Administration in the preparation of letters of intent, offers to lease, and lease agreements, including redrafting lease documents throughout the negotiation process
  • Preparing and updating files, lease summaries and compiling execution packages
  • Ordering credit reports for tenant prospects, track credit review process to ensure timely response
  • Distributing all completed documentation to tenants, property management, leasing, construction and external stakeholders
  • Tracking all condition dates and fixturing period notification periods, and preparing condition extensions/removals, fixturing notices as necessary
  • Preparing and verifying monthly rent rolls, co-tenancy reports, quarterly reports
  • Collecting required tenant deliverables for release of Tenant Allowances
  • Preparing commission agreements and review of commission invoices for accuracy prior to submission
  • Assisting in technology initiatives as required
  • Performing relief reception duties in rotation with other administrative support staff
  • Other duties and special projects as assigned

Qualifications

  • Post-secondary education in a relevant program (real estate/legal) is considered an asset
  • Minimum of 3 to 5 years of experience in an administrative role, preferably in commercial real estate
  • Knowledge of lease and contract terms language, with understanding of accounting concepts related to real estate
  • Proven organizational and multi-tasking skills, able to process large amounts of documentation with a high degree of accuracy, working effectively in a deadline-oriented environment
  • Self-motivated, professional and flexible, able to work both independently and as part of a team
  • Exceptional customer service skills as well as interpersonal and relationship building skills
  • Superior verbal and written communication skills
  • Proficiency in Microsoft Office including MS Word, Excel and Outlook
  • Familiarity with Yardi and SharePoint software platforms

Salary and title for this position will be commensurate with the candidate’s experience.
